About this policy
This policy explains how ExoSquare handles personal information in connection with this website and enquiries about our work.
“ExoSquare”, “we”, “us” and “our” refer collectively to Exosquare Limited in Hong Kong (business registration number 75803217) and Exosquare Pty. Ltd. in Australia (ACN 621 091 254). For a particular enquiry or activity, these references mean the relevant entity handling that matter. You can contact us at hello@exosquare.com to identify that entity or ask about this policy.
Information we collect
When you contact us, we receive the information you choose to provide, such as your name, email address, organisation, role, message and attachments. This may include information about a proposed project, collaboration or employment enquiry. We collect this information directly from your correspondence and subsequent conversations.
Technical information, such as an IP address, browser type, requested pages and request times, may be processed by hosting and security services when they deliver and protect the website.
You can browse without creating an account. You may make a general enquiry without giving your name, although we need a way to respond and enough information to address your request. Please provide only information relevant to your enquiry and avoid sending sensitive information unless it is needed and an appropriate method has been agreed.
How we use information
We use enquiry information to respond, assess proposals, arrange discussions and manage related correspondence or work. We may also use relevant information to maintain business records, protect our systems and rights, resolve disputes and meet legal obligations.
We use information for the purpose for which it was provided, related purposes you would reasonably expect, or another purpose permitted by applicable law. Where consent is required for a different use, we will seek it separately. Sending an enquiry does not subscribe you to a mailing list.
Sharing and overseas processing
Information may be accessed by people working on the relevant enquiry or activity and by service providers supporting it, including hosting, communications, IT support and professional advisory services. Disclosure is limited to what is reasonably needed for the relevant purpose. We may also disclose information where required or permitted by law, or where reasonably necessary to establish, exercise or defend legal rights.
Service providers may store or process information outside your country, including outside Hong Kong or Australia. Applicable privacy protections can differ between countries. Where we engage a provider to handle personal information, we require appropriate handling and protection through contractual or other reasonable safeguards, taking account of applicable law. Contact us if you need information about the arrangements relevant to your enquiry.
Retention and security
Enquiry records are held electronically in email and communications systems. We retain personal information for as long as reasonably necessary for the purpose for which it is held, taking account of the nature of the enquiry or relationship, legal recordkeeping requirements and the resolution of disputes. Information no longer needed is deleted or de-identified, subject to applicable retention requirements.
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, alteration or disclosure. The measures appropriate to a record depend on its nature and how it is held. No online service or method of communication can guarantee absolute security.
Browser storage and external services
The website stores your light or dark appearance preference in your browser’s local storage. This preference is not sent to us by the website. You can change it using the theme control or remove it by clearing this site’s browser data. Without a saved choice, the website follows your device preference.
The website does not use analytics or advertising trackers, and its application code does not set cookies. It does not offer accounts, online purchases or newsletter signup. Fonts and the Nostr QR image are served locally with the site.
External links, including Nostr links and the QR destination, open separate websites or applications. Their own terms and privacy practices apply when you use them. Public Nostr activity may be distributed or copied by other participants and services. This website does not embed a Nostr feed.
Access, correction and complaints
You can request access to or correction of personal information we hold about you, or raise a privacy concern, by emailing hello@exosquare.com. Describe your request and the relevant interaction. We may need to verify your identity or ask for further details before providing access or making changes.
We will consider requests in accordance with applicable law. If a request cannot be met, we will explain the reason where permitted. For complaints, we will review the circumstances, seek any information needed to investigate and respond with the outcome and any proposed steps to address the concern.
You may also contact the relevant privacy regulator, including the Hong Kong Privacy Commissioner for Personal Data or the Office of the Australian Information Commissioner, where the matter falls within its jurisdiction.
Changes to this policy
We may update this policy to reflect changes in our activities, the website or applicable requirements. The date at the top identifies the latest version. Where a change requires further notice or consent under applicable law, we will provide that notice or seek that consent.
